Attendance Rules Settings in Clock-in Locations

If your company has its own rules about ”when to arrive late“, ”when to leave early“, and ”how to calculate work hours“, you can Add Work Location before employees start clocking in. Each clock-in location needs to be set up with different attendance rules. Workstem also supports you in this.

Detailed Setup Instructions

1. Minimum Clock In/Out Interval (mins)

  • Used to set the minimum time between two consecutive clock in/out

  • Default is 0

e.g. Set this to 0 min: employees can clock in/out consecutively (might cause duplicated data).

Set this to 10 mins: employees can only clock in/out 10 mins after each try.

2. Effective Clock In Start Time (mins)

  • Used to set the earliest time employees can clock in before shifts start

  • The system defaults to 240 minutes. The employee can clock in within 4 hours of the shift start time

e.g. If your shift is set for 9:00 and you set 30 minutes here, clock-in before 8:30 will not be counted into attendance.

3. Effective Clock Out End Time (mins)

  • Used to set the latest time employees can clock out after shifts end

  • The system defaults to 360 minutes. The employee can clock out within 6 hours of the end time of the shift.

e.g. If your shift is set to 18:00 and you set 30 minutes here, clock-out after 18:30 will not be counted into attendance.

4. Within how many minutes after shift start time can employees clock in? (mins)

  • Used to calculate the time of lateness

  • Default is 0

e.g. If your shift is set for 9:00 and you set 5 minutes here, clock-in after 9:05 will be counted into lateness.

5. Within how many minutes before shift end time can employees clock out? (mins)

  • Used to calculate the time of leaving early

  • Default is 0

e.g. If your shift is set to 18:00 and you set 5 minutes here, clock-out before 17:55 will be counted into leaving early.

6. Working Hours Rounding Down (mins)

  • Used to set how many minutes to round down

  • Default is not to round down

e.g. An employee worked for 7 hours and 12 minutes. If you set 30 mins here, then the actual total working hours will be rounded down to 7 hours. 12 is less than 30 so it will not be included in the calculation.

Attendance Start & End Time Settings

7. If the clock-in time is earlier than the start time of shift, the start time of the shift will be counted as the start time of attendance

Default is "Yes" which means the system will use shift start time to calculate when an employee starts working (not clock in time).

e.g. Your shift starts at 9:00, and an employee clocked in at 8:20:

  • If you turn this on, 9:00 will be counted as the actual clock in time;

  • If you turn this off, 8:20 will be counted as the actual clock in time.

8. If the clock-out time is later than the end time of shift, the end time of the shift will be counted as the end time of attendance

Default is "Yes" which means the system will use shift end time to calculate when an employee finishes working (not clock out time).

e.g. If the working hours is from 9:00 to 18:00, and the staff clocked out at 19:00:

  • If you turn this off: 19:00 will be used for attendance calculation;

  • If you turn this on: 18:00 will be used for attendance calculation.

9. Templates with no scheduling shifts

Select the default shift template to use to calculate attendance for workdays with no shift arrangement.

  • If you do not choose any templates here, the system will count no shifts as no work.

  • If you choose templates here, the system will take this template’s attendance time in no shift days.
