In Workstem, Business Data and Payroll Run Data serve distinct purposes to help administrators effectively manage employee compensation. This guide explains the key differences and provides practical examples to help you use these features efficiently.

1. Business Data

Definition:

Business Data refers to fixed or recurring salary data that remains consistent for every payrun unless manually updated. This data is typically set up for regular payments or allowances that are predictable and tied to an employee’s regular compensation structure.

Use Case:

Business Data is ideal for scenarios where employees receive consistent, predefined benefits or bonuses, such as attendance bonuses or meal allowances.

Example:

  • Attendance Bonus:

    • A staff member is entitled to a $100 attendance bonus in every payrun.

    • The administrator sets this up in Business Data, so it is automatically included in every payrun without requiring manual input each time.

Key Features:

  • Automatically included in each payrun.

  • Editable when necessary, but typically stable over time.

  • Examples: Fixed bonuses, allowances, regular deductions.

2. Payroll Run Data

Definition:

Payroll Run Data refers to variable or one-off salary data that is specific to a particular payrun. This data is used for adjustments, bonuses, or deductions that are not recurring and depend on the circumstances of that specific payrun.

Use Case:

Payroll Run Data is best for temporary payments or adjustments, such as overtime pay, sign-on bonuses, or one-time deductions.

Example:

  • Sign-On Bonus:

    • A staff member is awarded a $100 sign-on bonus in the current payrun only.

    • The administrator adds this bonus directly in the Payroll Run Data section of the current payrun.

Key Features:

  • Specific to a single payrun.

  • Manually added or adjusted each time.

  • Examples: One-time bonuses, overtime pay, temporary deductions.


How to Configure

Setting Up Business Data:

  1. Click [Payroll] > [Variable Salary Data] > [+ New]

  2. Data Type Choose Business Data.

  3. Add the desired recurring allowance or deduction (e.g., Attendance Bonus: $100).

  4. Save the changes.

Adding Payroll Run Data:

  1. Before you add Payroll Run Data, you need to Start a new payrun.

  2. Click [Payroll] > [Variable Salary Data] > [+ New]

  3. Data Type Choose Payroll Run Data and Select Payrun.

  4. Add the variable payment or deduction (e.g., Sign-On Bonus: $100).

  5. Save the changes.

By understanding and effectively using Business Data and Payroll Run Data, administrators can ensure accurate and streamlined payroll processing. Use these tools in Workstem to handle both recurring and variable compensation with ease.
