It is commonly asked how to quickly input the generated leave balance of employees before using Workstem system?

For leave with balances such as Annual Leave and Paid Sick Leave, the system can automatically calculate the leave balance that employees are entitled to each month/year according to the settings in [Leave Policy]. If employees have generated / used some balance before using Workstem system, then you can quickly adjust the remaining leave balance in the system by [Balance Adjustment].

This guide will take Annual Leave as an example to showcase the process of initial balance input in detail.

If the annual leave balance is generated monthly

Case: Employee A has 12 days of annual leave per year, and one annual leave day is granted by the end of each month. 9 annual leave days have been generated until Oct 26th, and 2 days were used.

According to leave policy settings that leave balance will be generated by the end of each month, system will automatically generate leave balance every month, instead of generating leave balance in the past. Therefore, you only need to manually input the remaining days which are 7 in this case into the system through [Balance Adjustment].

Process

Step 1

Entering the page of adjusting balance by clicking [Leave] > [Leave Balance] > [Balance Adjustment].

Step 2

Click [+ New] > select the employee who needs balance adjustment > select leave type > input "7" in the [Amount] > type reason > save.

You are able to input remaining balance of your employees into the system according to the above steps. New leave balance will be generated according to [Leave Policy settings] from then on, making sure the accuracy of employees' leave balance calculation.

If the annual leave balance is generated yearly

Case: Employee B has 12 annual leave days after working for one year. The annual leave is generated at the beginning of every year. Employee B used 3 days as of Oct 26.

Based on leave policy settings that leave balance is generated at the beginning of every year, system will automatically generate initial leave balance once a year.

Select the employee who needs balance adjustment > select leave type > input "-3" in the [Amount] > type reason > save.

Workstem will generate initial leave balance for employees based on leave policy settings once a year. According to the above steps, system can accurately calculate the remaining usable leave balance for employees after inputting used leave balance.

The process of adjusting other leave types, like paid sick leave and compensation leave, is the same. If you have a great number of employees, you can input data into the system by importing an Excel file with balance adjustment records.
