Streamlining Scheduling with Bulk Scheduling

If you wish to apply the same shift template to multiple employees or replicate a schedule from one employee to another, Workstem offers the 'Bulk Settings' feature to streamline the scheduling process. There are four methods available for bulk scheduling.

Bulk Create

For scenarios where numerous employees are working at the same location during identical shifts, you can efficiently add all their shifts at once using our bulk create feature.

Navigate to Schedule > Schedule Pro > Bulk Setting > Click the 'Bulk Create' button

Complete the necessary fields on the creation page.

  • Add Employees: Choose the employees you wish to schedule the shift template for; multiple selections are permitted.

  • Shift Template: Indicate the desired shift template to apply to the selected employees.

  • Work Location, Start Time, End Time, Shift Type: These will be automatically populated based on the settings of the selected shift template.

  • Shift Status: Choose 'Confirmed' to publish the shift; select 'Unconfirmed' if you prefer not to make the shifts immediately visible to employees.

  • Project: Select the relevant project from the dropdown menu.

  • Date: Specify the date(s) for which the shift template should be applied; multiple days can be selected.

  • Replace all existing overlapping shifts: Enabling this feature will replace any existing shifts that overlap with the newly created shift. Otherwise, the system will flag overlapping shifts with a red mark.

Once all fields are filled, click the 'Save' button to preserve the scheduled shifts. The scheduling table will display all the shifts that were bulk created.

Notes:

  • Confirmed shifts will be indicated with a blue sidebar.

  • Unconfirmed shifts will lack the blue sidebar.

Bulk Confirm

To efficiently confirm numerous unconfirmed shifts at once, utilise the 'Bulk Confirm' feature.

Navigate to Schedule > Schedule Pro > Bulk Setting > Click the 'Bulk Confirm' button

Complete the required fields on the creation page.

  • Add Employees: Choose the employees you wish to schedule the shift template with; multiple selections are permitted.

  • Start Date & End Date: Specify the timeframe within which you want all shifts to be confirmed.

Click 'Save' to confirm all shifts within the chosen timeframe. Confirmed shifts will be indicated by a blue sidebar on the scheduling table.

Copy Shifts by Person

To enable other employees to follow another employee's shifts without creating them one by one, utilise the 'Copy Shifts by Person' feature.

Navigate to Schedule > Schedule Pro > Bulk Setting > Click the 'Copy Shifts by Person' button

Step 1: Select copy source

Choose the employee whose shifts you want to copy.

Set the desired time period for copying.

Click 'Next' to proceed.

Step 2: Select paste range

Choose the employee(s) to whom you want to paste the shifts. Multiple selections are allowed.

Click 'Next' to move to the next step.

Step 3: Select paste time

Specify the time period for pasting the shifts.

Click 'Confirm' to finalise the process.

Note: If there are existing shift records within the selected time period, ensure to activate 'Replace all existing shift records' to prevent duplication errors.

Copy Shifts by Time

For scenarios where employees work varying shifts according to set rules, use the 'Copy Shifts by Time' feature.

Navigate to Schedule > Schedule Pro > Bulk Setting > Click the 'Copy Shifts by Time' button

Step 1: Select copy source

Choose the employee(s) whose shifts you want to copy. Multiple selections are allowed.

Set the time period for copying.

Click 'Next' to proceed.

Step 2: Select copy time

Specify the start and end dates of the shift rule.

Click 'Next' to proceed.

Step 3: Select paste time

Click 'Confirm' to finalise the process.

This process will copy shifts from the selected timeframe to the specified timeframe.
