Workstem does not automatically calculate the leave balance between these 3 types of leave. The default for sick leave employees applied for self-service is "NPL".
Because we believe that these 3 types of leaves have a lot of special situations in different companies, the Automatic processing in the system will bring inconvenience for HR data checking and modifying.
It is not necessary for employees to understand the difference between these 3 kinds of leaves. They just need to deal with one of them, which can help HR avoid data errors.
It is recommended that employees explain the reason for the SL4/5 when filling in the SL application and upload the picture attachment of the doctor's paper through the App.
When applying for SL4/5 or FPSL, HR needs to modify the type of leave application for employees on the Web. Workstem will record the history of all modifications and SL4/5 leave allowance will be automatically deducted. If the employee's balance is not enough, the system will also tell you.
What are the qualifications for getting the SL4/5 allowance?
According to the “Employment Ordinance”, employees who are employed under a continuous contract can get sickness allowance if they meet the following qualifications at the same time:
Sick leave more than 4 continuous days;
The employee can provide a medical certificate;
The employee has accumulated enough paid sick leave.
Most of the employees have difficulty in distinguishing what the sick leave they take is, and they don’t understand the eligibility requirements, it is very easy to make mistakes.
How do employees apply for SL4/5 allowance?
Companies can set 3 types of sick leave first, but only open the application for "NPL". If an employee is eligible to receive SL4/5 allowance, he/she can apply for the "NPL" through the App, note the "SL4/5 allowance" and upload relevant documents. After that, the employer can manually modify it to SL4/5 on the web.
What should I do if I want employees to apply for SL4/5 by themselves?
If you want employees to apply for the correct SL by themselves, you can go to “Leave”>”Leave Type”>”SL4/5”>”Applicable by Employees”. Then the “Applicable by Employees” status changes to be open and employees can check and apply in the App. However, please make sure that the employees fully understand the eligibility for SL allowance and the calculation method in the “Employment Ordinance”.
